What is the difference between a quote and an invoice?

A quote is sent before work begins to outline proposed pricing and scope — it is not a request for payment. An invoice is issued after the work is completed or goods delivered, and it formally requests payment. Quotes typically include a validity date; invoices include a due date.

How long should a quote stay valid?

Most small businesses set a 14-30 day validity window to account for material cost or labor rate changes. This generator defaults "Valid Until" to 30 days from the quote date — adjust it to match your own pricing terms.

Should a quote include sales tax?

Only if you know the sale will be taxable in the client’s state. Since sales tax is state and local (not federal), many businesses estimate it at 0% on a quote and confirm the exact rate on the final invoice.
