Frequently asked questions
When should I issue a credit memo instead of a refund?
Issue a credit memo when you want to formally reduce or cancel an amount owed on a specific invoice — for a return, an overcharge, or a cancelled service — without necessarily sending cash or a card refund back to the client. If the client already paid and you are returning money directly, a refund (or a credit memo plus a refund) is more appropriate. Many businesses issue a credit memo and let the client apply it against a future invoice instead of refunding cash.
Does a credit memo need to reverse sales tax too?
Yes. If the original invoice charged sales tax on the amount you are crediting, the credit memo should reverse that tax proportionally to the credited amount — not just the pre-tax price. Reducing only the subtotal without adjusting sales tax will overstate what you actually owed the state on that sale.
